How to create an invoice online

Creating a professional invoice is mostly about clarity. The client should understand who is billing, what they are paying for, when payment is due, and how totals were calculated.

Step-by-step invoice walkthrough

  1. Add your business name, address, contact details, and logo if you use one.
  2. Add the client name, billing address, and any delivery or project reference.
  3. Choose the country, currency, document type, invoice number, issue date, and due date.
  4. Add products, services, hours, or milestones as separate line items.
  5. Review quantity, rate, item-wise tax rate, discount, shipping, total, amount paid, and balance due.
  6. Add payment terms, notes, bank details, payment link, or any instruction the client needs.
  7. Save a browser copy for quick edits, then download or print the final record you need to keep.

Before sending

  • Check spelling of business and client names.
  • Confirm tax wording, tax number, and registration details required in your location.
  • Make sure estimates, quotes, and proformas are clearly labelled as non-final documents where appropriate.
  • Download or print records you are legally required to keep.
